UniID Staff help

Get help with activating your new network account and UniID credentials at The University of Western Australia. Your UniID credentials will be used to log into our systems and applications. 
  • Activating your new network account in Pheme
    1. If you are a staff member you will need to activate your new network account and create your UniID.
    2. During the activation process you will be asked for your staff number and your date of birth.
    3. Choose 'I agree' after you have read the terms and conditions.
    4. You will then be asked to enter a 'challenge question and answer'. A challenge question and answer is a useful level of security that uses personally meaningful information.
    5. To easily reset your password, you will need to know your challenge question and answer.
    6. The challenge answer is not case sensitive but it must be six or more characters long and may contain letters numbers, spaces and special characters.
    7. After entering your challenge question and answer, a random password will be generated and your new account will be activated.
    8. You must change your password immediately after this, or you will not be able to login.
    9. Once you have logged in and updated your password, follow the documented step to set up Multi-factor Authentication (MFA).
  • Logging in

    If you have problems logging in to any UWA networks or applications you should first check that you have activated your new account.

    If you have forgotten your password, you can reset it if you have a challenge question and answer.

  • Changing your password

    For security, you will need to change (reset) your password every six months. You will be notified via your staff email address when your password is due to expire.

    Log on to any UWA networks or applications with your staff number and your current password. If you do not remember your password, you may be able to reset it using the reset existing password utility.

    1. To change your password, use the 'change your password' link.
    2. Enter your current password.
    3. Then enter a new password.
    4. Re-enter the new password again to confirm that you typed it correctly.

    Note:

    • Read the password guidelines
    • if you are using a UWA computer, you will also have to log out and then use your new password to log back in.
  • Forgotten/expired password

    Password resets and account unlocks are now available through the self-service password reset (SSPR) function.

    You will need your staff ID (e.g. [email protected]) and the smartphone you use for multi-factor authentication. To continue, follow the prompts on the SSPR website.

  • Changing your challenge question and answer

    Your challenge question and answer are used to identify you when resetting your existing password. You should choose a challenge question and answer that is meaningful only to you and cannot be guessed, or discovered by other people.

    To change your challenge question and answer:

    1. Log in to Pheme
    2. Use the 'change your challenge' link. 
    3. Choose 'update'.

  • Terms and conditions for staff UniID accounts
    I have read and agree to abide with all relevant University Policies, Guidelines and any mandatory training that apply to me when using my UniID Account, including (but not limited to) :
      o Acceptable Use of IT Policy;
      o Cyber Security Policy;
      o University’s Behaviour Policy;
      o Code of Ethics and Code of Conduct;
      o The Information Privacy Policy, Information Retention Policy and Information Protection Policy.
    • I am aware and understand that personal information captured about me, provided by me or personal information that I access of others whilst using my UniID Account is collected and used or disclosed in accordance with the University’s Information Privacy Policy and Guideline, relevant Privacy Collection Notice and in accordance with the Privacy and Responsible Information Sharing Act 2024 (WA). This may include the use of my UniID Account, University networks and relevant University Systems and may include my location when using certain services.
    • I understand that a UWA user name and UniID account is a privilege, not a right and carries responsibilities, such as not authorising its use by any other person and due diligence on my part to ensure it has not been accessed by other persons. I understand that I may be held responsible for any authorised use of my UniID account.
    • I understand that my name and UniID email address will be displayed in the UWA Online Contact Directory, which is visible only to those on the University network. I understand that ownership of this user name is retained by UWA and that although I am authorised to use it, I have no power to 'authorise' its use by any other person;
    • I am aware that misuse of any UWA device, system and or network access can attract criminal penalties, civil liability for third party loss and University disciplinary action and that my access to the network may be suspended or terminated permanently without notice for breach of any of the above policies, rules or regulations. 
    • I understand that my UniID account may be disabled if I do not log in to my UniID Account within 6 months and if this happens I will need to re-activate my account.
    I have read this declaration, the relevant University Policies and Regulations that apply to me
    including the Code of Ethics and Code of Conduct carefully, and I understand my responsibilities and agree to abide by them. I consent to the University’s appropriate use of data and information including my personal information that is fair and reasonable as stated in this declaration and within its policies.
